Saving a search saves the criteria of the search but doesn't save the results of your original search. Every time you reload the search it is rerun, so the results may not be the same as they were originally.
To save a search:
Once you have run a search and received the results, select Save Search from the Action menu. The Save Search page will open. The search criteria will be listed under the page title.
- Enter a name for the search in the Name field.
- If the new search replaces an existing search, select the name of the replaced search from the drop-down Replace list.
- If it does not replace an existing search, leave the Replace field blank.
- If desired, mark the Display this search on my project homepage checkbox to show this saved search in that location.
- Select the custom display options:
- Display this search as - Options include table, pie chart, doughnut chart, bar chart, horizontal bar chart, and stacked bar chart.
- Width - The relative amount of horizontal space this search will take up on the home page.
- Display fields - By default, fields are set to the same order they were being displayed in for the search. You may make changes to that order before saving.
- Group issues by - If desired, select the choice field by which issues will be grouped together.
- Select the Save Search button to save the new search for the first time. The results table will reopen when the Save Search page closes. If you check your Search navigation bar menu, the new search will be listed under Saved Searches.
Saved searches can be rerun by clicking the Search menu on the project navigation bar and selecting the search from the dropdown. You can also click on the search name if you are on the project homepage and the results are there.
Managing Saved Searches
This page allows you to manage the publicization of your existing saved searches. If you have at least one saved search, it is available by selecting Search > Manage Saved Searches on the main navigation bar.
This page displays a table listing your saved searches. The search field allows you to search the list by selecting attributes to filter on or by keying in a full or partial word. The table of searches can be filtered by Public and Shared values. By default all of your saved searches are displayed.
For each saved search, the following information is displayed:
- Name
- Description
- Public. A check in this column indicates that the search has been publicized to all users in the project.
- Shared. A check in this column indicates that the search has been shared with one or more users. A search can be shared by copying and sending the URL to another user.
- On Homepage. A check in this column indicates that the search is displayed on your project homepage.
- Subscribed Users. A count of the number of users displaying your publicized search on their homepage.
- Last Viewed
A search can be publicized by checking the box next to it and selecting Publicize Selected Searches. Doing so will make the search available in the Search menu under “Public Searches” to all users in the project. Your shared searches can be removed from this public list by checking the box on this page and selecting Unpublicize Selected Searches.
To delete a search:
There are two ways to delete a saved search, either from the search itself or from the Manage Saved Searches page.
- Run the search you want to remove.
- Select Delete Search from the Action menu. The page will refresh and the name will be removed from the results table. If you return to the Search page, the name will be removed from the Saved Searches list.
- Select Search > Manage Saved Searches. Check the box for the search(es) to be deleted and select Delete Selected Searches.
To edit a saved search:
- Run the search.
- Select Rename Search from the Action menu to rename the saved search. Enter a new name and select Rename Search. The page will refresh and the name will be updated.
- Select Add/Remove Homepage to display or remove the search from your project or company homepage. Mark or unmark the appropriate checkboxes and select display options. When finished select Save Changes. Select Cancel to return to the search without making changes.
Edits made to a publicized search will be applied to all instances of that search which other users access.
